How to Send Emails with TagOut.ai đź“§

Once you’ve:

âś… Built your school & coach list

It’s time for the most important step:

👉 Sending your first recruiting email.

This is where you introduce yourself to college coaches and start real conversations.

Step 1: Go to the Email Section

From your dashboard:

  1. Click the Menu
  2. Select Emails
  3. Click New Email

You’ll now be on the email composer screen.

Step 2: Select the Coaches You Want to Contact

Click Select Contacts.

This will open your full coach list, showing:

  1. Coach name
  2. School
  3. Email address

You can:

  1. âś” Select all coaches
  2. âś” Select individual coaches
  3. âś” Filter by specific schools

If you want to email just one program (for example, only Queens), you can select only those coaches.

Once finished:

Click Save Selection

You’ll now see all selected email addresses in your “To” field.

Need to Remove Someone?

You can click the ❌ next to any email address to remove it.

If you accidentally selected the wrong group, it’s usually easier to go back and start over by clicking back to the Emails section.

Step 3: Confirm Your CC Line

Your CC email address (set in your profile settings) will automatically appear.

This is typically:

  1. A parent
  2. A travel ball coach
  3. A high school coach

This ensures someone else can:

  1. Follow up with coaches
  2. Advocate for you
  3. Stay informed on recruiting conversations

Step 4: Write Your Email (Or Use AI)

You can manually:

  1. Enter a Subject line
  2. Write your Email body

Or you can click:

👉 Generate Draft

Using AI to Draft Your Recruiting Email

Simply describe what you want to say.

Example:

I’m a second baseman from Raleigh and I have a showcase tournament this weekend. I want to share my schedule with coaches.

Click Generate Draft, and TagOut will:

  1. Create a subject line
  2. Write a personalized email
  3. Add a professional signature block

You can then edit anything before sending.

Using Personalization Variables

TagOut allows you to personalize emails automatically using variables.

For example:



Hello Coach {{lastName}},

TagOut will automatically replace:

  1. {{lastName}} with the coach’s actual last name
  2. {{mascot}} with the school’s mascot

So one coach might see:

Hello Coach Armstrong,

Another might see:

Hello Coach Davis,

Each coach receives a true one-on-one email.

What If a Variable Is Wrong?

If you accidentally format a variable incorrectly (for example, missing brackets), TagOut will:

  1. Alert you before sending
  2. Give you the option to fix it
  3. Or allow you to override and send anyway

This prevents broken personalization.

Step 5: Add Links, Photos, or Videos

You can include:

  1. Highlight video links
  2. Tournament schedules
  3. Academic updates
  4. Photos
  5. Social links

Make it easy for coaches to evaluate you quickly.

Step 6: Click “Send Emails”

When you click Send Emails:

TagOut sends individualized emails.

Important:

This is NOT a group email blast.

Instead:

  1. One email goes to Coach A
  2. One email goes to Coach B
  3. One email goes to Coach C

Each appears as a direct, personal email conversation between you and that coach.

What Happens After You Send?

After sending, you’ll see an Email Performance Page that shows:

  1. âś… How many emails were sent
  2. đź‘€ How many were opened
  3. đź”— Which links were clicked
  4. 📊 How many times links were clicked

You’ll also see:

  1. An activity feed for that specific email
  2. Engagement tracking by coach

Now you know:

  1. Who is interested
  2. Who is ignoring
  3. Who is revisiting your profile

Recruiting becomes data-driven — not guesswork.

Why This Matters

Most athletes send emails and never know what happened.

With TagOut, you can:

  1. Follow up with coaches who opened but didn’t reply
  2. Prioritize coaches who clicked your video
  3. Adjust messaging based on real engagement
