How to Build Your School & Coach Contact List

Build your list, then introduce yourself!

Once your profile is set up, the next step in TagOut is building your list of schools and coach contacts.

This is where recruiting really starts.

TagOut helps you quickly identify programs, find verified coach contact information, and organize everything in one place.

Step 1: Go to “Create a List of Schools & Contacts”

From your Getting Started checklist, click:

You can also access this page through:

  1. My Schools
  2. My Coaches
  3. Or Build Your List with AI

All of these take you to the same place.

If you don’t have any schools or coaches yet — that’s normal. You’re about to build your list.

Step 2: Select Your Sport

Before searching, you must select your sport.

This ensures TagOut pulls the correct coaching staff for each program.

For example:

  1. Softball pulls softball staff
  2. Baseball pulls baseball staff
  3. Soccer pulls soccer staff

Always confirm the correct sport before searching.

Step 3: Choose How You Want to Search

There are two ways to search for schools:

Option 1: Search by School Name

If you already know a school you’re interested in:

  1. Start typing the university name
  2. Select it from the dropdown
  3. TagOut will pull available coach contact data

This is great if you already have a target list.

Option 2 (Recommended): Search by State & Division

This is the smarter way to build a recruiting board.

Instead of guessing schools, you can:

  1. Select a State
  2. Select a Division (D1, D2, D3, NAIA, JUCO)
  3. Click Find Contacts

TagOut will search for programs that match your criteria and return coach contact information.

Why You Should Mix Divisions

It’s important not to put all your eggs in one basket.

A strong recruiting list should include a healthy mix:

  1. Division 1
  2. Division 2
  3. Division 3
  4. NAIA
  5. JUCO

Many athletes only focus on Division 1 — but opportunities exist across all levels.

Recruiting is about fit, not just logos.

Step 4: Review the AI Results Carefully

After clicking Find Contacts, TagOut’s AI Research Bot gathers:

  1. Head coach names
  2. Assistant coaches
  3. Email addresses
  4. Twitter (X) handles
  5. Instagram accounts

You’ll see a list of schools and their associated coaches.

⚠️ Important: Always review the results before adding them to your list.

AI research is powerful — but sometimes it can pull outdated or duplicate information.

How to Verify Coach Information

If something looks off:

Use “View Source”

Each coach entry includes a View Source option.

Clicking it shows where the information came from.

For example:

  1. If it pulls from an official university athletics page → likely accurate
  2. If it pulls from an old Facebook page from 2021 → probably outdated

This allows you to confirm which coach listing is correct.

Handling Duplicate Coaches

Sometimes you’ll see:

  1. Two “Head Coaches” listed for the same school
  2. Multiple entries with slightly different emails
  3. Social handles missing in one listing but present in another

Here’s what to do:

  1. Compare both entries
  2. Use View Source
  3. Keep the most accurate listing
  4. Delete the incorrect one

You can also:

  1. Copy social handles from one listing
  2. Merge information manually
  3. Remove outdated entries

The goal is to create one clean, accurate contact record per coach.

Step 5: Add Coaches to Your List

Once you’ve reviewed and cleaned up your results:

Click Add to My List

Now those coaches are officially part of your recruiting dashboard.

You’ll be able to:

  1. Email them
  2. Track opens and clicks
  3. Organize follow-ups
  4. Monitor engagement
